Design File Management system

Brickwise is a real estate investment platform with four interrelated products that support various aspects of the investment process.

❗ Problem Statement

Locating files on our Figma platform is a challenge. We add files whenever we want, name them as we wish, and later spend entire days searching for them. Messages like 'Where's the "xyz" file?' flood in daily, especially with new hires and increasing projects. Despite our efforts to create user-friendly applications, our chaotic design documentation holds us back.

🗻 Challange

I had to consider two distinct user types: those who would use the website and my clients who would update it. While Framer has certain limitations and features controlled by the platform, it also grants designers significant freedom.

👑 My Role

I took the initiative for platform cleanup, conducting research, establishing usage norms, presenting, and training the team. The situation was so chaotic that I didn't need to convince my manager of the necessity. I'd call this the Interface Design Documentation Process.

I searched all the places I knew and didnt knew, to find out some ways that other people work, ask lots of designer friends about their processes, asked reddit community, and even reached out people on Linkedin I was following. Found lots of insigts.

🧐 Talking to our team members

I conducted a user interview / usability testing, with my own collegues, to find out what are some of the goals when they use our own organizational files. This was fun. We lought a lot. here are some of the fun and insightful things I heard.

  • ok, now that I dont find the Landing page design file, I will create a new one

  • aaaa, its called "email letters" not "newsletters"

  • here is when I would ask you to send me the link to the app illustrations.

  • I dont think I have access to that file'

  • sometimes files get to big, and I just delete the file and create new one, or just create a new one….

  • Sometimes you guys write the features behivours in a comment, and when I chick on the check, it dissapears, I wish you just added a comment.

  • I cant have the app, because of some technical issues, and I always forget what the screens are, and I have to ask you or Basti every time

For each of the interviews, an empathy map was created to enhance our understanding of the users. The empathy maps helped us capture and visualize users' thoughts, feelings, needs, and motivations. Below is just one example of the empathy maps created for each participant.

💬 Making my teammates to feel invested in the design process

Think of C++ developper, you never give them ideas how to work or think they dont do good job, right? now think of designers, everyone has opinion about design, most developers are not happy with designers and most team members dont get why are we doing what we are doing and why we are not doing something else instead.

And as a relatively new person at this carrere, who doesnt have team lead fo get validation from work, I wanted to get it from team mates. and I started to add.


So I created a team channel, where I would add some pain points of users and ask their opinion how they would solve it. :) And I would also share the final results inthe end. This way they understood the users more, and our solutions more, and why we do what we do.


Small thing, but worth it. I was thinking how amazing would we to create a podcust about each case study, but At a Prudcut designer team of 1, I think I have enough on my plate already.
